Options for Backing up your Data

School Server

Hosted on school server
Long term storage solution for document backup while at NCS
Files put into T server are automatically backed up

Best for:
General storage of all non sensitive documents
How to:

Open Teacher Server & create yourself a new folder.
Drag your documents (less the photos & movies) into your folder.

Don't forget to re-do this process every few weeks.


Inexpensive way to have a backup
May not have enough room for all your files
Relatively easy to back up to if all files are located in one place, eg. "My Documents" folder.
Disks are great if you don't have a lot of data to back up and you want the security of knowing even if your computer was stolen or destroyed, you would still have your data and files.
A CD-RW can hold 800 MB, while a DVD-RW can hold 4.7 GB.

Best for:
Archive storage of documents, date the disc when you burn it
Medium to long term storage of documents
Remember that using CDRs means you can only burn the disc once

Flash/USB Drive

Portable and easily transferable across most computers
Small and light
Come in a range of storage sizes
Flash drives are great for backing up specific folders that you want to be able to view in any computer.
Memory cards and flash drives provide a good data storage option for those who need more space and quicker backup times.

Best for:
Short term storage
Moving files from Home to School computers
Need to make sure you eject the drive properly from your computer before taking out
Key ring is not the best place to store USB drive if files on it are crucial
How to:

Insert USB drive, drag folders across into the USB drive icon, Check they are all there before removing device.

External Hard drive

Usually still small enough to be portable
Come in a range of sizes, most will fit entire contents of "My Documents", "My Pictures" and "My Movies" etc
External hard drives are great because they have as much (if not more) space as your regular hard drive, usually connect via USB for rapid data transfer times, and can be stored at a separate location to avoid both your computer and your backups being destroyed or stolen at the same time.
These need to be looked after and can be damaged if dropped or exposed to magnets.
However most are durable and have long data retention (15 years) if looked after.

Best for:
Peace of mind storage
Ability to have copies of documents in another location
Portability if you need it
Unable to edit files once they are written to the disc • Can become scratched and unusable through mishandling and daily use
How to:

Connect external hardrive via USB. Drag files and folders to back up into it.
Or follow instructions given when purchased.
Online Backing up
Using an online backup or archiving service. It usually consists of a low monthly fee instead of the one-time cost of buying data storage devices. Most online backup services enable you to set automatic backups, which means you don't have to remember to back up the data yourself. The system does it automatically. Also, online backup means that your data is stored far away from your home or office, ensuring that whatever happens to your computer, your backups will always be there.
